AI meeting minutes The minutes write themselves while you listen.
Butler turns the recording of a meeting into finished minutes: who said what, what was decided, who does what by when. In your organisation’s format, as Word or PDF — without the audio ever leaving your server.
- Decisions and action items
- Speakers detected and named
- Export to Word or PDF
Which kind of minutes?
Action minutes, discussion minutes, verbatim.
The three classic formats differ in how much of the conversation they keep. Butler produces all three from the same recording.
Most requested
Action minutes
Just the outcome: decisions, action items with owners and dates, open points. Ideal for team and project meetings.
For boards
Discussion minutes
The course of the discussion item by item, with the main arguments — usual for boards, councils and committees.
Word for word
Verbatim record
The full transcript, every passage with its speaker and time stamp. The evidence the other two rest on.
How it works
From recording to minutes in four steps.
- 1
Record or upload
Record the room with your microphone, capture an online call (Zoom, Teams, Meet, Webex — no bot joins) or upload a file you already have.
- 2
Transcribe
Whisper large-v3 writes it down and speaker detection separates the voices. Voices Butler knows carry their names straight away.
- 3
Pick a template
Your minutes template sets the sections, tone and language. One click writes the summary, decisions, action items and open questions.
- 4
Review and export
Correct any sentence in place, then export the minutes alone or with the transcript to Word or PDF.
What good minutes need
Nothing invented, nothing forgotten.
AI minutes are only as good as they are traceable. So every statement stays linked to the moment in the conversation it came from.
From what was said
Decisions and actions are drawn from the transcript, with who said it and when right beside them.
Your templates
Board meeting, weekly sync, project review: fixed sections and wording shared with the team, so every set of minutes looks the same.
Names, not “Speaker 1”
A few voice samples per person once, and Butler recognises your team in every new meeting.
In any language
A meeting in German, minutes in English for colleagues abroad — or the other way round.
Filed and shared
Meetings in folders, folders shared with your group. Last week’s minutes are one click away.
Searchable
Minutes can go into a knowledge base: “What did we decide about the budget in March?” — answered with the source.
Privacy
Why a minutes tool does not belong in someone else’s cloud.
A meeting nearly always contains personal data: names, opinions, sometimes health or HR matters. Many note-taking tools send the audio to servers outside the EU, or join the call as a bot everyone can see.
Butler records only the sound your computer already plays and transcribes on its own GPUs — no third-party transcription API, no training on your recordings. A recording starts only once you confirm that everyone has been told.
Questions about AI meeting minutes
How do I take meeting minutes with AI?
Record the meeting or upload the recording, let Butler transcribe it, and pick a minutes template. Butler writes the summary, decisions and action items; you review and export to Word or PDF.
Does a bot join my Teams or Zoom call?
No. Butler records the sound your computer plays, so it works with every meeting application and nobody sees a bot in the participant list.
Are AI-written minutes official minutes?
Minutes become official when the people responsible review and approve them — that holds for an AI draft as much as for a handwritten one. Butler gives you the draft and the transcript as evidence.
Can we record meetings at all?
Only with the participants’ knowledge. Butler makes that a hard step: recording starts only after you confirm everyone has been told.
Which languages are supported?
Every language Whisper large-v3 knows, including English, German and French. The minutes can be written in a different language from the meeting.
